Websites and software for associations and NGOs
For associations, NGOs and Portuguese social-care institutions (IPSS), we build websites and platforms that bring together member records and fees, MB WAY donations and volunteer rotas. The board stops reconciling spreadsheets and scattered messages, and anyone who wants to support the cause finds an easy way to do it.
Typical problems
- The membership list lives in a spreadsheet that only one board member knows how to update
- Unpaid fees come to light at the end of the year and have to be chased one phone call at a time
- Visitors who want to help cannot find a quick way to give on the website
- Volunteer rotas are arranged in WhatsApp groups, and some shifts are never filled
- Donation receipts for tax returns are prepared by hand whenever a donor asks for one
Suggested bundle
- Member records and fees
- Donations by MB WAY, Multibanco and card
- Volunteer rotas
A year in the life of the association
In January, the treasurer opens the new membership year in one step. Every member receives an e-mail with their payment reference and the option to pay by MB WAY. Those who prefer a monthly direct debit simply keep paying without having to remember. In March, the board sends the notice of the general meeting from the same list and knows who can vote, because their fees are up to date.
In the autumn, the food collection needs volunteers on Saturdays. The coordinator posts the shifts, shares the link with the group and watches the slots fill. At year end, the activity report draws on figures the platform already holds: active members, fees received, volunteer hours.
Donations that reach you
A "Donate" button on every page opens a short form: amount, payment method, and a tax number for anyone who wants a receipt. Gifts can be one-off or monthly. Each appeal has its own page that explains the goal in plain words and shows what the money raised has already paid for.
What usually goes into the platform
- Member records with contact details, membership number, joining date, fees and consents.
- A members' area where people update their address, download a statement of fees paid and read notices from the board, much like a client portal.
- Rotas and shifts per activity, with a cap on places and automatic reminders.
- Exports for the accountant and for funding applications, with no copying by hand.
Start with what matters most
A sensible first step is a clear institutional website: the mission, the services offered and a donate button. Member and volunteer management can follow on a custom management platform that grows with the organisation and is handed to the next board already in order.
Frequently asked questions
Can members pay their fees online?
Yes. Fees can be paid by MB WAY, Multibanco reference, card, Apple Pay or Google Pay, and monthly fees can be collected by direct debit. Each payment is logged on the member's record, so the treasurer sees straight away who is up to date.
Can the platform issue donation receipts?
It can generate the receipt from the details the donor gives, including their tax number, and e-mail it as soon as the payment clears. The wording and fields are agreed with you and with whoever keeps your accounts, so the receipt follows the rules for your legal status.
How are member and service-user details kept safe?
Each person on the team sees only what their role needs, and service-user data never sits on the public website. Newsletter consents are recorded with their date and source. If you handle health data or information about children, we design that access with extra care and can run a security and GDPR review.
Do volunteers need to install an app?
No. The rota opens in the phone's browser from a link sent by e-mail or text message. Volunteers pick a shift, get a reminder the day before and, if something comes up, release the slot for someone else.
Can disabled people use the website?
They should be able to, especially when your work is with disabled or older people. We build to WCAG, with readable contrast, keyboard navigation and plain wording, and the website can include its own accessibility statement.
How much does a platform for an association cost?
It depends on the size of the membership, the payment methods and how many areas you want to run from the same place. We quote every project individually, once we understand how your organisation works today. Request a quote
