Parent portal for kindergartens and after-school

For nurseries, kindergartens and after-school centres, we build a parent portal where families see the week's menus, each child's daily log and photos of activities, and message the staff. Enrolment and renewals happen online, with parents uploading the documents themselves. Staff spend less time on the phone and more time with the children.

Typical problems

  • Parents ring in the middle of the day to ask whether their child has eaten, napped or settled
  • Activity photos are shared in WhatsApp groups, with no control over who sees or keeps them
  • Enrolment means piles of paper, from vaccination records to declarations and consent forms
  • Important notices get lost in school bags, and half the chairs at parents' evening are empty
  • Allergies and special diets sit on a list pinned up in the kitchen that not every staff member checks

A day in the two-year-olds' room

In the morning, the key worker records who has arrived and reads a note from one mother: her son slept badly last night. At lunch, she marks on the tablet who finished their meal and who left the soup. In the afternoon, she photographs the hand-painting session and posts the pictures only to families who have given consent.

At snack time, the boy's father opens the portal at work: his son had a good nap and ate well. He reads the notice about the Christmas party and confirms with one tap. He did not need to phone once.

After school, a different routine

At an after-school centre, children arrive from school at different times and leave with different people. The portal shows who is in the room, who may collect each child and the afternoon's activities, from homework help to music. During school holidays, families sign up for holiday clubs online, with the remaining places on show.

For the centre's management

  • Records for each child with allergies, diets, contacts and the people authorised to collect them
  • Weekly menus published for every family, with allergens marked
  • A daily log per child, and photos shared only with consent
  • Messages and notices per room, per group or to the whole centre
  • Enrolment, renewals and waiting lists
  • Monthly fees and extra activities with their payment status

Start with the essentials

Many centres begin with a client portal for menus and messages, then add the daily log and payments later. Installed as a web app, it sits on parents' phones with notifications. The website shows new families your approach to early years and leads them into enrolment.

Frequently asked questions

Are the children's photos safe?

Photos are never public and never go round messaging groups. We design the portal so each family only sees pictures their own child appears in, and a group photo is only shared once every family of the children in it has given permission in the portal. Because this is children's data, we always recommend a security and GDPR review.

Won't the daily log mean more work for staff?

We design it to take seconds on a classroom tablet, with one tap per child for meals, naps or nappy changes, and a short note when needed. Parents get a summary at the end of the day instead of asking about everything at pick-up.

How does online enrolment work?

Parents fill in the child's record, upload the documents you ask for and give their consents in one form, which saves their progress if they have to stop halfway. Management sees applications in a list, in order of arrival and with the status of each, and replies from the same dashboard.

Can parents pay monthly fees through the portal?

They can. Monthly fees, extra meals and optional activities such as swimming or music appear in the portal with their due dates, and parents pay by card, MB WAY, Multibanco, Apple Pay, Google Pay or SEPA Direct Debit. If you would rather keep your current invoicing, the portal simply shows the status of each payment.

What does a parent portal cost?

We prepare a proposal by hand based on the number of rooms and children, what you want in the portal and whether you need an installable app. Request a quote
