Online booking for medical and dental clinics
For medical and dental clinics, we build online booking by speciality and doctor, automatic reminders and a patient area with appointments, documents and payments. An AI voice receptionist picks up the calls your front desk cannot. Patients book when it suits them, and your team spends less time on the phone.
Typical problems
- The phone rings during appointments, and every missed call may be a patient who books elsewhere
- No-shows leave gaps in the diary when it is too late to fill them
- Reception confirms appointments one by one, by phone or by hand-typed text message
- Patients e-mail to ask for invoices and attendance certificates they could fetch themselves
- The website does not say which specialities, doctors and insurance agreements are available, so the same questions arrive every day
Suggested bundle
- Online booking by speciality and doctor
- SMS and e-mail reminders
- Patient area
- AI voice receptionist
From booking to the waiting room
It is ten at night and a parent wants a children's dental appointment for their daughter. The clinic is closed, but the website is not. On their phone, they pick the speciality, see the dentists and next week's free slots, and book in two minutes. A confirmation e-mail follows with the address and what to bring.
The day before, a text message arrives with the time and a link to confirm or reschedule. On the day, reception already has the intake form and does not need to take details at the desk. After the appointment, the invoice and treatment plan sit in the patient area, where the next check-up can be booked too.
Patients who would rather call reach the AI voice receptionist out of hours or when the line is busy. It introduces itself as an AI and books into the same diary.
What your team sees
- A diary per doctor, room and speciality, with its own length for each type of appointment
- Blocked time for surgery, training and holidays
- A waiting list that tells patients when a slot opens
- Intake forms completed before the visit
- Deposits or consultation fees paid by card, MB WAY, Apple Pay or Google Pay, where it makes sense
- Simple reports on occupancy and no-shows
Single practices and multi-speciality clinics
A practice with one doctor needs little: online booking, reminders and a website that answers the usual questions. A clinic with several specialities and rooms gets more from the patient area, a link to the clinical software and the voice receptionist. We start with whatever fixes the biggest problem and add the rest when you need it.
If the clinic already runs other systems, a security and GDPR technical review shows what to fix before everything is connected.

Frequently asked questions
Can online booking connect to the clinical software we already use?
It depends on what your software allows. If it offers an API or a way to sync the diary, online bookings go straight into it; if not, the online diary becomes the reference and your team sees everything in one dashboard. We look at your setup before proposing anything.
How is patients' health data handled?
Under the GDPR, health data is a special category that needs extra safeguards. We design the system to collect only what a booking needs, with encrypted connections, access restricted by role and a log of who views what. The privacy policy and consent wording are prepared together with the clinic.
Does the voice receptionist give medical advice?
No. It says it is an AI at the start of every call, handles bookings, changes and practical questions such as opening hours and insurance, and transfers the call to your team whenever the matter is clinical or urgent. In an emergency, it tells the caller to dial 112.
Do reminders really cut no-shows?
A reminder the day before, with a link to confirm or cancel, gives patients an easy way to let you know. A freed slot can then go to someone on the waiting list. We make no promises about figures, but your diary finds out sooner what is going to happen.
What does a booking system for a clinic cost?
Every clinic gets a proposal written by hand, based on the number of doctors and specialities, the integrations and the features you choose. Tell us how your diary works today and we will send one. Request a quote
