B2B ordering for wholesalers and distributors

For wholesalers and distributors, we build B2B ordering platforms where each customer sees their own prices, minimum quantities and the stock on hand, and orders without phoning the warehouse. Stock and orders sync with your ERP. Your team stops retyping orders and spends that time selling.

Typical problems

  • Customers phone or e-mail their orders, and every line is copied into the ERP by hand
  • Each customer has a different price list and discount structure that is hard to apply without mistakes
  • Customers order items that are out of stock and only find out on delivery
  • Field reps write orders on paper and pass them on at the end of the day

Integration comes first

A B2B platform is only as good as its link to the ERP. That is why the integration is designed at the start, with your ERP and your team, before any screen is drawn. The ordering portal is then built on top of it. For manufacturers selling through dealers, see also our page on industry and manufacturing.

What the platform covers

  • Catalogue with per-customer terms. Prices, discounts and visible products for each account, matching the ERP.
  • Live stock. Availability by warehouse and expected restock dates, updated from the ERP.
  • Fast ordering. By product code, from a favourites list, by repeating a past order or by uploading a spreadsheet.
  • Account statement. Invoices, credit notes and the outstanding balance visible to the customer, so fewer calls reach your accounts team.
  • Several users per customer. A group of shops can have one person ordering in each shop and another approving.

A distributor's day with online ordering

At seven in the morning, a grocer places the weekly order on their phone before opening up. They see their negotiated prices, what they bought last time and a note that one item is out of stock until Friday, with a suggested alternative. By eight, when the warehouse starts picking, that order is already in the ERP, ready to pick.

Late in the morning, the rep covering local restaurants records three orders on a tablet, sitting at each customer's counter. In the afternoon, a PDF order arrives by e-mail from a customer who prefers the old way, and its lines are already filled in for the team to confirm.

Frequently asked questions

Do customer prices come from the ERP, or do we load them again?

They come from the ERP wherever it exposes them. Price lists, quantity breaks, discounts by product family and time-limited promotions flow into the platform, which applies them to each customer once they sign in. A change made in the ERP reaches the platform with no duplicate work.

How do minimum quantities and units of sale work?

Each item can be sold by the unit, case or pallet, with the conversion handled for you. The platform blocks orders below the minimum and can nudge buyers when they are close to filling a case or reaching your free-delivery threshold.

Can our sales reps use the platform too?

Yes. On a tablet or phone, a rep picks the customer they are visiting and orders on their behalf with the right prices and stock. The order reaches the ERP straight away instead of waiting for the end of the day.

What about customers who keep ordering by e-mail?

There will always be a few. Document intelligence reads the lines from a PDF order or the body of an e-mail and drafts the order for your team to check, so nobody types it from scratch.

What does a B2B ordering platform cost?

It depends on your catalogue, your pricing rules and the ERP involved. We first map how orders move through the business today, then prepare a quote for your situation. Request a quote
