Software for condominium management

For condominium management companies, we build a portal where every owner checks their fees, the building's minutes and documents, reports repairs and pays without a trip to the bank. Managers stop answering the same questions by phone and see every building's status on one dashboard. General meetings run better, because the information is there for everyone to see.

Typical problems

  • Owners phone to ask what they owe or to request the latest minutes
  • Repairs are reported by phone, e-mail or a note in the letterbox, with no log and no follow-up
  • Late fees come to light too late and are chased with letters and calls
  • Meeting notices, works quotes and insurance policies sit in scattered folders and attachments

A leak, from first report to repair

A resident on the third floor spots a damp patch on the stairwell ceiling. She opens the portal on her phone, takes a photo and logs the issue in under a minute. The manager gets an alert, sees that a similar complaint was raised the year before and asks two plumbers for quotes.

The quotes are attached to the report, where the owners can read them. Once the work is approved, the repair date appears in the portal and every resident is notified. Afterwards, the invoice is filed with the building's documents, ready for the next general meeting.

What the manager sees on one dashboard

  • Each unit's account, with fees issued, paid and overdue
  • Open repairs by building, status and contractor
  • Minutes, meeting notices, house rules, insurance policies and maintenance contracts
  • Notices sent to one building, one entrance or every owner
  • Works quotes, each with the general meeting's decision attached
  • Transaction exports for the accountant

From a few buildings to a large portfolio

A small management firm gains straight away from a simple client portal with fees, documents and repair reports. A company with a large portfolio needs profiles for several managers, integrations with its accounting software and reports per building. Everyday questions, like bin collection days or who services the lift, can be handled by an AI chat assistant that says it is an AI and hands over to the manager when needed.

Frequently asked questions

Does each owner only see their own unit?

Yes. Each owner signs in to their own account and sees the fees and payments for their unit, plus the building's shared documents. The management company decides what each profile can view, and someone who owns several units sees them all in one account.

How are fees paid through the portal?

Every fee generates a Multibanco reference or an MB WAY request, and can also be paid by card, Apple Pay or Google Pay. Payments are matched to the unit's account automatically. Owners who prefer it can set up a monthly direct debit.

What happens when someone reports a repair?

The owner describes the problem, adds a photo and says where it is, such as the garage or the lift. The report gets a number and a status, and the manager passes it to a contractor. Whoever reported it is kept informed at every step until it is fixed.

Does the portal work with the software we already use?

Often, yes. If your software can export or share data, the portal reads fees and owners from it, so nothing is entered twice. If it cannot, we look at whether a custom management platform is worth it.

How much does an owner portal cost?

We have no price list. We put together a proposal based on the number of buildings, the software you use today and the features you want at launch. Request a quote
