Online booking for tour operators

For tour operators and experience providers, we build a website where every tour has time slots, a capacity limit and online payment. Visitors pick a session, pay and get a confirmation in their own language, while your team sees how many people are on each departure. You sell more directly and stop managing seats through messages and spreadsheets.

Typical problems

  • Seats on each departure are counted by hand across phone calls, e-mails and messages
  • Tourists search and book on their phones, often the night before, and the website cannot take a booking
  • Much of the business comes through activity marketplaces, with a commission on every ticket
  • Weather cancellations mean contacting every customer one at a time
  • Good reviews are scattered across several platforms and never appear on your own site

A morning of bookings, seen from both sides

Over breakfast in Lisbon, a family decides to do a jeep tour in the hills the next day. They search on a phone, land on your website and read the experience in English: how long it lasts, where to meet, what to bring and whether it suits children. They choose the 9.30 departure, see that six seats are left, enter the ages and pay by card, MB WAY, Apple Pay or Google Pay. The confirmation arrives straight away, with a map of the meeting point and the guide's contact.

On your side, the booking shows up in the dashboard with the headcount and the family's notes. At the end of the day the guide opens the participant list on a phone and knows who is coming, who has paid and who asked for a child seat.

What each experience can include

  • Sessions with their own time, length and capacity, private departures included
  • Tickets by participant type, such as adult, child or group
  • Optional extras like lunch, a hotel pick-up or photos
  • Questions at checkout, for example allergies or experience level
  • An automatic reminder the day before, with the time and meeting point
  • A Google review request once the experience is over

Visitors from many countries, one place to manage them

Your customer might be German, French or American, and decides in seconds whether they understand what they are buying. Every experience gets a translated page written for people searching in that language, with its own address per language so it shows up in the right searches. Our SEO and Google visibility work helps those pages get found ahead of the marketplaces.

For the questions that arrive out of hours, such as "is there parking?" or "is the tour accessible?", you can add an AI assistant on WhatsApp. It answers from your own information, always says it is an AI and hands the chat to your team when needed.

Frequently asked questions

Can I cap the number of people on each departure?

Yes. Each session has its own capacity, and the calendar closes by itself once the seats are gone. You can also set a minimum group size and confirm the departure only when it is reached.

Can I keep selling on activity marketplaces?

You can. The direct channel sits alongside the marketplaces rather than replacing them. Where a marketplace offers a connection we sync the seats; where it does not, the dashboard shows bookings from every channel side by side so you do not oversell.

What if a departure does not reach the minimum group size?

For each experience you choose how long to wait for the minimum. If the group is still short at that point, everyone booked is offered another date or a different tour, and refunds follow the terms you published.

How much does a website with experience bookings cost?

We have no fixed prices. Each project is quoted by hand from the number of experiences, the languages and the sales channels you use. Describe how you operate and we will put a proposal together. Request a quote
